2. Physician Responsibility
The treating physician bears sole and full responsibility for reviewing, verifying, and approving all AI-generated content before submission to any insurer or healthcare authority. ClearPass does not guarantee insurance approval. Approval decisions rest entirely with the insurer.
3. No Patient Identifiers — Important
Do not enter patient names, Emirates ID numbers, date of birth, or medical record numbers into this tool. Use initials, age, and clinical details only. Notes are processed via AI infrastructure outside the UAE. You are responsible for ensuring no identifiable patient data is transmitted.
4. Reference Verification
All literature references, guideline citations, and Daman Adjudication Rule references generated by this tool must be independently verified by the physician via PubMed, official Daman portals (damanhealth.ae), or DHA/DOH official publications before formal use.
5. Data & Privacy
ClearPass collects your name and email address for account management. Clinical note text is transmitted to AI processing infrastructure for the purpose of generating documentation. No clinical content is stored on ClearPass servers after processing. By using this service you acknowledge and accept this data flow. Full details in our Privacy Policy.
6. No Affiliation
ClearPass is not affiliated with, endorsed by, or officially associated with Daman Health Insurance, DHA, DOH, or any UAE government authority. Insurance criteria are sourced from publicly available regulatory documents.

1. Who We Are
ClearPass is an independent software service operated in the UAE, providing AI-assisted clinical documentation tools for licensed healthcare professionals. Contact: support@clearpass.health
2. What Data We Collect
Account data: Full name and email address, collected when you register for a free trial or subscribe. This is used to manage your account, provide access codes, and send service communications.
Usage data: Number of notes generated, date of last use, and subscription status. This is used to enforce plan limits and manage billing.
Clinical note text: The clinical content you enter is transmitted to our AI processing infrastructure (Anthropic, USA) in real time for the purpose of generating documentation. This content is not stored on ClearPass servers after processing. We strongly advise against entering any patient-identifiable information.
Note history: Clinical notes are stored locally on your device only (in your browser's localStorage) and are never transmitted to or stored on our servers. Clearing your browser data deletes them entirely.
3. How We Use Your Data
We use your data to: (a) provide and operate the ClearPass service; (b) manage your subscription and billing via Stripe; (c) send you your access code and service notifications; (d) improve the service. We do not sell, rent, or share your personal data with third parties for marketing purposes.
4. Third-Party Services
Anthropic (USA): Clinical note text is processed via Anthropic's Claude API. Anthropic processes this data under their own privacy policy and data processing terms. Clinical content is not retained by Anthropic for training purposes under their API terms.
Stripe (USA/Ireland): Payment processing. Stripe collects and processes payment card details directly. ClearPass never receives or stores card numbers.
Railway (USA): Cloud hosting provider. Account data (name, email, usage counts) is stored on Railway servers.
5. Data Retention
Account data is retained for as long as your account is active. Clinical note history (if saved) is retained until you delete it or close your account. You may request deletion of your account and all associated data at any time by emailing support@clearpass.health. We will action deletion requests within 30 days.
6. Your Rights
Under the UAE Personal Data Protection Law (Federal Decree-Law No. 45 of 2021), you have the right to: access your personal data; correct inaccurate data; request deletion of your data; withdraw consent for processing; and lodge a complaint with the UAE data protection authority. 7. Security
All data is transmitted over HTTPS. Account credentials are not stored in plain text. Payment processing is handled entirely by Stripe. We implement reasonable technical measures to protect personal data against unauthorised access.
8. Children
ClearPass is intended for use by licensed healthcare professionals only. It is not directed at individuals under the age of 18.
9. Changes to This Policy
We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated date. Continued use of the service after changes constitutes acceptance of the updated policy.
