Using an AI scribe with MEDITECH Expanse: pasted notes
MEDITECH Expanse runs in hospitals of many sizes and in the clinics attached to them. Your documentation is shaped by specialty templates and the chart views your organisation set up. ClearPass sits outside all of that: it drafts the note in plain text and you paste it into Expanse yourself.
Settings where Expanse is used
MEDITECH's product pages list the care settings Expanse covers: acute care, ambulatory care, critical care, emergency department, home care and hospice, labor and delivery, mental health, oncology, post-acute and surgical services. Its ambulatory page speaks both to independent physician practices and to groups that are part of an organisation using Expanse in other settings.
The same clinician may therefore chart a clinic visit in the morning and an emergency assessment in the evening, in different templates. ClearPass handles that by letting you pick a different note structure each time.
Specialty templates and a pasted narrative
MEDITECH describes specialty-specific templates and customizable chart views in Expanse Ambulatory. Templates like these usually contain a mix of structured prompts and free-text areas. A pasted note belongs in the free-text areas, where the patient's story and your reasoning go.
Where the template asks for structured entries, such as a tick box or a coded value, enter those in Expanse directly. Pasting prose into a structured field does not help anyone who later searches or reports on it.

What plain text looks like after pasting
The note arrives as plain text: capital headings on their own lines, hyphens for list items, a blank line between sections. There is no bold, table or colour to lose. If your free-text area wraps long lines, the note still reads correctly, because each list item starts on its own line.
Read the pasted text inside Expanse before signing. Check that it went into the right patient's note, that no section was cut off, and that every number the ClearPass numbers check marked has been confirmed or corrected.
Letters, instructions and codes
From the same visit ClearPass can draft a referral letter, patient instructions, a sick note or a medical report. Paste each into the place your organisation uses for correspondence or discharge information. Suggested ICD-10 codes are for you to confirm; enter the diagnosis in Expanse the way your organisation codes it.
Limits to be clear about
- ClearPass has no connection with MEDITECH and cannot read results, orders or previous notes.
- Nothing is saved into Expanse unless you paste it. You sign and file the note there yourself.
- Hospitals often restrict outside software and copy and paste. Check local policy and ask IT before using it with patients.
What ClearPass does not do
- It does not replace your judgement. Every note is an AI draft that you review and correct before it is used.
- It is not a medical device and does not make clinical decisions. It is a documentation aid.
- It does not connect to your EMR. The note is copy-ready text that pastes into any system.
Privacy
Clinical note content is not stored on ClearPass servers: it is processed to write the note, then discarded. Consultation audio is transcribed and discarded, never stored. Your note history stays in your browser, on your device, and you choose how long it is kept. Common identifiers are removed from typed and transcribed text before it reaches the AI; that is a best-effort safeguard, so leave names, ID numbers and file numbers out where you can. Processing goes through the AI providers named in our Privacy Policy, which sets out exactly what each one receives and how long it keeps it. ClearPass does not sign HIPAA business associate agreements today.

Does ClearPass connect to MEDITECH Expanse?
No. It has no integration. The note is plain text that you copy and paste.
Can I use it for emergency department notes?
You can transcribe or type the assessment and paste the draft into your emergency note, if your organisation allows outside tools. Review it carefully before signing.
What if my template uses coded fields?
Enter coded and tick-box items in Expanse directly. Paste only into free-text areas.
MEDITECH has its own ambient features. Why use ClearPass?
Some clinicians do not have those features switched on, or want the insurance letters, multilingual transcription and plain-text drafts ClearPass offers. If your organisation already provides an embedded tool, check with it before adding another.
Can I use a phone or tablet on the ward or in clinic?
ClearPass runs in the browser on a phone, tablet or computer. Note history stays on the device you used, so paste from that same device, if your organisation permits it.
