Using an AI scribe with Oracle Health (Cerner): paste-in notes
Clinicians in organisations running Oracle Health, the EHR many still call Cerner, write notes inside templates their organisation provides. ClearPass has no link to it. You get a plain-text draft of the visit, check it, and paste it into the clinical note yourself.
Cerner is now Oracle Health
Oracle states that its acquisition of Cerner became official on 8 June 2022, and the EHR is now sold as Oracle Health. Many clinicians still say Cerner or PowerChart, and Oracle's own accessibility documentation lists the PowerChart framework alongside its clinical notes component.
That documentation describes the clinical notes component as the place where clinicians view and enter textual information stored in the patient's chart, and it lists templates as supported. That is the part that matters for a pasted note: it lands in a text-based note, usually built from a template.
Template sections versus one text block
How your notes are laid out depends on how your organisation configured them. Some note templates are one long free-text area; others are divided into sections that each take their own text. We cannot describe your screens, so match the paste to what you see.
For a single free-text area, copy the whole ClearPass note. For a sectioned template, use the capital headings in the ClearPass note to copy one part at a time: history into the history section, findings into the examination section, and assessment and plan into theirs. Hyphen bullets and blank lines keep each part readable once it is in place.
Leave pulled-in data to the EHR
Hospital note templates often pull vital signs, results, medications and allergies from elsewhere in the chart automatically. The ClearPass note only contains what was said in the visit, typed in or read from a photographed report. If the template already shows today's vitals, do not paste a second set.
A good habit is to choose Concise length in ClearPass for heavily templated notes, so the draft carries the clinical story and decisions, while the EHR supplies the structured data it already holds.
A walk through one clinic visit
- Before the patient comes in: open the note type your clinic uses in the EHR, so the right patient and encounter are ready.
- During the visit: tap Transcribe in ClearPass after confirming the patient agrees. Speak your examination findings aloud so they reach the draft.
- After the visit: tap Stop, choose the structure closest to your template (SOAP, Full headings, Follow-up, New patient, Procedure, Problem list or My own structure), and read the draft.
- Paste and tidy: paste into the note, delete anything the template already shows, and resolve every number the numbers check marked.
- Letters and codes: draft the referral letter or patient instructions in ClearPass and paste them where your organisation keeps correspondence. Check any suggested ICD-10 codes before entering a diagnosis.
- Sign in the EHR. Signing, routing and billing all stay inside your organisation's system.
What ClearPass will not do here
- It does not open, read or write to Oracle Health. It cannot see results, orders or earlier notes.
- It does not file the note or letters. If you do not paste them, they stay only in ClearPass History on your device.
- It does not replace your organisation's rules on outside software. Some hospitals block copying between applications or do not allow third-party tools; ask IT first.
What ClearPass does not do
- It does not replace your judgement. Every note is an AI draft that you review and correct before it is used.
- It is not a medical device and does not make clinical decisions. It is a documentation aid.
- It does not connect to your EMR. The note is copy-ready text that pastes into any system.
Privacy
Clinical note content is not stored on ClearPass servers: it is processed to write the note, then discarded. Consultation audio is transcribed and discarded, never stored. Your note history stays in your browser, on your device, and you choose how long it is kept. Common identifiers are removed from typed and transcribed text before it reaches the AI; that is a best-effort safeguard, so leave names, ID numbers and file numbers out where you can. Processing goes through the AI providers named in our Privacy Policy, which sets out exactly what each one receives and how long it keeps it. ClearPass does not sign HIPAA business associate agreements today.

Does ClearPass work inside PowerChart?
No. It runs in a separate browser tab. You copy the note there and paste it into your EHR note yourself.
My note template has many sections. Can the ClearPass note match it?
Use My own structure to type your template's section names once, in the same order. Every draft then follows them, which makes section-by-section pasting quick.
Should I paste the medication list?
Only if your template does not already show it. Avoid two copies of the same list in one note.
Where should a referral letter drafted in ClearPass go?
Into whatever area your organisation uses for outgoing letters, so it is signed and sent through the usual route. Keep it out of the clinical note itself, and check names of services and follow-up dates before it leaves.
