Setting up the audio

ClearPass transcribes what your device's microphone hears. In a video visit that detail decides whether the note is complete. If you wear headphones, the microphone hears you but not the patient, and the transcript will be one-sided.

Two setups work well. Either run the call on the device speaker so the microphone picks up both voices, or open ClearPass on a second device, such as your phone, placed near the speaker of the computer running the call. Test your setup once on a trial call before a full clinic.

Consent on every call

The app asks you to confirm the patient's agreement before each transcription, remotely as in person. Say it at the start of the call and wait for a clear yes. If a relative is on the call, make sure they have heard it too.

If the patient declines, carry on with the consultation and type or dictate a summary afterwards. ClearPass structures typed text into the same note.

What the note does with a remote visit

Speaker separation labels who said what, so the history the patient gave and the advice you gave are kept apart. The note is written in English in your chosen structure; many telehealth services prefer SOAP or Follow-up.

A remote examination is limited, and the note should say so. If you observed something on video, say it aloud during the call ('on video, no visible swelling of the ankle') so it is in the transcript. Do not let the draft imply an examination you did not do; check the examination section every time.

From the same call, one click drafts patient instructions to send afterwards, a sick note, or a referral letter when the patient needs to be seen in person.

Working between calls

  1. Stop at the end of the call. The draft appears while you close the video window.
  2. Check the risky parts. Medications, doses, allergies and anything the numbers check has marked.
  3. Paste into your platform or EMR. There is no direct integration; the note is plain text that pastes anywhere.
  4. Start the next call. Tap Transcribe again and confirm consent with the new patient.

Asynchronous and follow-up messages

Not every remote contact is a live call. Some services work through written questionnaires or messages. ClearPass does not read message threads directly, but you can paste the patient's written answers and your own findings into the typed input, and it structures them into the same note. A photo of a lab report the patient sent can be added too, with identifiers removed first.

For short follow-up calls, the Follow-up structure keeps the note focused on what changed since last time. Concise length suits most of these; switch to Detailed when the call covered a new problem.

What ClearPass does not do

Privacy

Clinical note content is not stored on ClearPass servers: it is processed to write the note, then discarded. Consultation audio is transcribed and discarded, never stored. Your note history stays in your browser, on your device, and you choose how long it is kept. Common identifiers are removed from typed and transcribed text before it reaches the AI; that is a best-effort safeguard, so leave names, ID numbers and file numbers out where you can. Processing goes through the AI providers named in our Privacy Policy, which sets out exactly what each one receives and how long it keeps it. ClearPass does not sign HIPAA business associate agreements today.

Questions

Can a relative or carer join the call?

Yes. Speaker separation labels the voices it hears, so a carer's account is kept apart from the patient's. Confirm that everyone on the call has heard and agreed to the transcription before you start.

Can ClearPass join the video call itself?

No. It does not connect to video platforms. It listens through the microphone of the device it is running on.

Can I run the video call and ClearPass on the same computer?

Yes, in separate browser tabs or windows, as long as the call audio comes out of the speaker so the microphone can hear the patient.

How long can a single call be?

A single visit can be transcribed for up to two hours.

What does ClearPass cost?
