Using an AI scribe with Cliniko: a treatment note template built for pasting
Cliniko is practice software for clinics and allied health practitioners, and every treatment note is written from a template your clinic designs. ClearPass has no connection to Cliniko. The simplest way to use them together is a template with paragraph text questions that take the pasted draft.
How Cliniko treatment notes work
Cliniko's help centre describes writing a treatment note from the Appointments page: open the appointment, click Add treatment note and pick a template. Only users with the practitioner role can create notes. A note can be saved as a draft and edited later, or saved as final, after which it cannot be edited.
Templates are made of sections, and questions within them. Answer types include paragraph text, single line text, multiple choice, checkboxes, body charts and dates. By default, administrators and power receptionists create templates, and a template can be linked to an appointment type so it loads automatically.
Build a template that takes a pasted draft
- Decide the sections. For many physiotherapy and allied health visits, Subjective, Objective, Assessment and Plan work well, matching the ClearPass SOAP structure.
- Give each section a paragraph text question. Paragraph text is the answer type meant for longer responses, so it holds a pasted section comfortably.
- Keep structured items as their own questions. Body charts, checkboxes and pain scores stay as Cliniko questions that you fill in directly.
- Ask an administrator to link it. Relating the template to your usual appointment type means it loads on its own each time.
From visit to final note
Transcribe the treatment session in ClearPass after the patient agrees, or type your points. Choose SOAP, or My own structure if the clinic template uses different headings; enter them once and they are reused. Speak measurements aloud during the session, such as range of movement or strength grades, so they reach the draft.
Copy each ClearPass section into its paragraph question in Cliniko. The capital headings show where each section starts, and hyphen bullets stay as plain lines. Save as draft if you want to check anything, then save as final once you are satisfied.
Checks that matter in allied health notes
- Measurements and scores: every figure the ClearPass numbers check marked must be confirmed against what you actually measured.
- Side and level: left or right, and the joint or spinal level, are easy to mishear. Read them twice.
- Home exercise details: sets, repetitions and frequency belong in the plan exactly as you prescribed them.
- Copy-previous-note habits: if you use Cliniko's option to copy the previous note, delete old text before pasting the new draft, so two visits do not merge.
Letters and paperwork
From the same session ClearPass can draft a letter to the referring doctor, patient instructions for home exercises, or a sick note. Store each wherever your clinic keeps letters and documents, not in the treatment note itself. Where your setting uses ICD-10 codes, treat the suggested codes as a starting point.
Limits
ClearPass cannot see Cliniko, read earlier treatment notes or create a note for you. Nothing reaches the patient's file unless you paste it. If your clinic owner has a policy on outside tools, follow it. Keep patient names out of ClearPass; Cliniko already knows who the patient is.
What ClearPass does not do
- It does not replace your judgement. Every note is an AI draft that you review and correct before it is used.
- It is not a medical device and does not make clinical decisions. It is a documentation aid.
- It does not connect to your EMR. The note is copy-ready text that pastes into any system.
Privacy
Clinical note content is not stored on ClearPass servers: it is processed to write the note, then discarded. Consultation audio is transcribed and discarded, never stored. Your note history stays in your browser, on your device, and you choose how long it is kept. Common identifiers are removed from typed and transcribed text before it reaches the AI; that is a best-effort safeguard, so leave names, ID numbers and file numbers out where you can. Processing goes through the AI providers named in our Privacy Policy, which sets out exactly what each one receives and how long it keeps it. ClearPass does not sign HIPAA business associate agreements today.

Does ClearPass integrate with Cliniko?
No. It has no connection to Cliniko. You copy the draft into a treatment note yourself.
What answer type should my template use for the pasted text?
Paragraph text, which Cliniko describes as the type for longer answers. Use one per section if you paste section by section.
Can I change a note after saving it as final?
Cliniko says a note saved as final cannot be edited, so review the pasted text while it is still a draft.
Does it cope with a busy treatment session?
Speaker separation keeps your voice and the patient's apart, and visits of up to two hours are supported. Short, clear statements of findings during the session give the best draft.
