Using an AI scribe with Jane: pasting into a chart entry

Jane is used by solo practitioners and multi-discipline clinics, and charting happens in chart entries built from templates. ClearPass is not connected to Jane. It writes a plain-text draft of the visit, and you paste it into a note field of your chart entry, tidy it, then sign.

How charting works in Jane

Jane's guide explains that you open the patient's chart from the appointment in the Day View and click New Chart Entry, choosing a template such as SOAP. A chart entry stays editable as a draft. Once you click Sign it is locked, and any later change has to be added as an amendment.

Jane says it supports SOAP, narrative and hybrid charting with more than a thousand templates, plus saved phrases and smart fields. Its guide also describes chart templates built from parts such as written notes, body charts and checkboxes.

Pasting into a note field

A note field in Jane supports formatting: Jane's guide lists bold, underline, italics, highlight, links and bulleted or numbered lists, applied by highlighting text. The ClearPass note arrives as plain text, with capital headings and hyphen bullets, which reads fine as it is.

If you prefer Jane's own lists, highlight the hyphen lines after pasting and apply bullets there. Do any formatting before you sign, because Jane's guide notes that formatting cannot be changed once a chart entry is signed.

Templates, phrases and the draft

If your Jane template has one note field per SOAP section, copy each ClearPass section into its matching field. If it has a single narrative field, paste the whole note. Body charts, checkboxes and pain scales stay as Jane parts; fill those in Jane directly.

Saved phrases in Jane are still useful for wording you repeat, such as standard home-care advice. Use them for that, and the ClearPass draft for what was specific to this visit.

Matching your discipline

Physiotherapy and other rehabilitation visits: SOAP or Follow-up, with measurements spoken aloud so they reach the draft.
Medical and naturopathic consultations: New patient for first visits, Follow-up after that.
Treatments with a defined procedure: Procedure, which covers indication, steps, findings and aftercare.
A clinic-wide format: enter it once in My own structure so every practitioner's draft follows it.

A shared clinic template also makes it easier for a colleague who covers your patients to find the plan quickly.

Before you sign

Read the chart entry in Jane as it will be kept. Check every number the ClearPass numbers check marked; ranges of motion, pain scores and doses are easy to mishear. Remove anything that duplicates a template part you already filled.

Letters from the same visit, such as a referral letter, patient instructions or a sick note, are separate documents in ClearPass. Paste them wherever your clinic keeps letters, not into the chart entry. Where ICD-10 codes matter in your setting, check the suggestions before using any.

Limits

ClearPass has no connection with Jane and cannot see charts, appointments or templates. Jane offers its own AI Scribe; ClearPass is an unrelated product used by copy and paste. Nothing is saved to Jane unless you paste it. If your clinic has a policy on outside tools, follow it.

What ClearPass does not do

It does not replace your judgement. Every note is an AI draft that you review and correct before it is used.
It is not a medical device and does not make clinical decisions. It is a documentation aid.
It does not connect to your EMR. The note is copy-ready text that pastes into any system.

Privacy

Clinical note content is not stored on ClearPass servers: it is processed to write the note, then discarded. Consultation audio is transcribed and discarded, never stored. Your note history stays in your browser, on your device, and you choose how long it is kept. Common identifiers are removed from typed and transcribed text before it reaches the AI; that is a best-effort safeguard, so leave names, ID numbers and file numbers out where you can. Processing goes through the AI providers named in our Privacy Policy, which sets out exactly what each one receives and how long it keeps it. ClearPass does not sign HIPAA business associate agreements today.

Questions

Is ClearPass the same as Jane's AI Scribe?

No. ClearPass is a separate product with no connection to Jane. You copy the draft and paste it into a chart entry.

Will bullets paste as Jane bullets?

They paste as plain hyphen lines. Highlight them in Jane and apply a bulleted list if you want Jane's formatting, before signing.

Can I edit after signing?

In Jane, a signed chart entry is locked and changes are added as an amendment, so review the pasted text first.

Can I chart on an iPad between patients?

ClearPass runs in the tablet browser and can be added to the home screen. If Jane is open on the same tablet, you can copy from one and paste into the other. History stays on that device only.

What does ClearPass cost?
