An AI medical scribe for locum doctors

Why no integration is useful for locums

Every practice has its own house style, and you will not remember them all. Save the structures you use under My own structure, or use the built-in ones: SOAP, Full headings, Follow-up, New patient, Procedure and Problem list. Switching takes a moment, so you can match each site's expectations.
Length helps too. Some practices want short notes that fit their templates; others want detail because the next doctor will not know the patient. Concise gives key points; Detailed gives every clinical fact said.
Handover and continuity
Locums leave, and the regular team picks up the patient. A clear plan, clear safety-netting and a clear follow-up line matter more than usual. Before pasting, read the plan as if you were the doctor who sees the patient next week.
If the patient needs onward care, draft the referral letter from the same visit and leave it for the practice to send if that is their process. Patient instructions can be printed or sent the same day.
- Name the follow-up clearly: who, when and why.
- Put pending results in the plan so they are not lost when you leave.
- Use the numbers check before pasting any medication line.
Your history travels with your device, not the site
ClearPass keeps note history in the browser of the device you used, not on its servers and not on the host's systems. For a locum that is a double-edged fact. It keeps your drafts separate from each site, but the official copy of each note is only what you pasted into that site's EMR.
Set auto-delete to 7 or 30 days if you do not want old drafts on your phone after the shift. You can export your history if you need a backup before clearing it.
The first hour at a new site
- Check the local rules. Ask the practice manager whether AI documentation tools and personal devices are allowed, and how they want consent handled.
- Look at two old notes. See how the regular doctors lay out their notes, then pick the closest structure or switch to one of your saved ones.
- Find where the note goes. Locate the free-text field in their EMR you will paste into, and test with a short note.
- Start the list. Tap Transcribe, confirm consent, consult, tap Stop, review, paste.
Ten minutes of setup at the start saves the familiar end-of-shift scramble of unfinished notes in a system you barely know.

Privacy
Clinical note content is not stored on ClearPass servers: it is processed to write the note, then discarded. Consultation audio is transcribed and discarded, never stored. Your note history stays in your browser, on your device, and you choose how long it is kept. Common identifiers are removed from typed and transcribed text before it reaches the AI; that is a best-effort safeguard, so leave names, ID numbers and file numbers out where you can. Processing goes through the AI providers named in our Privacy Policy, which sets out exactly what each one receives and how long it keeps it. ClearPass does not sign HIPAA business associate agreements today.
Questions
What if the site's EMR has fixed boxes rather than one text field?
Paste each section into its box, or ask ClearPass to reshape the note into the sections that site uses. Saving that layout as your own structure makes the next shift there quicker.
Do I need the practice's permission?
Ask. Some sites have rules about AI tools or personal devices, and the patient's consent is still needed for each transcription.
Can I use it on my phone during a shift?
Yes. It runs in the phone browser and can be added to the home screen.
Will my notes from one site appear at the next?
Only in your own browser history on your own device. Nothing is sent to other sites.
