An AI medical scribe for occupational medicine
Occupational health consultations serve two readers: the clinical file, which holds the full picture, and the employer, who receives only what the worker agrees to share. What the consultation note needs
- The job: title, tasks, physical demands (lifting, standing, driving), shift pattern, safety-critical duties, and the worker's own description of a typical day.
- Exposures: noise, dusts, chemicals, vibration, biological hazards, and protective equipment used.
- The health problem: history, treatment, current function, and how it affects each part of the job.
- Functional findings: range of movement, lifting tolerance, walking and standing tolerance, cognitive or mental health effects.
- Surveillance results where relevant: hearing tests, lung function, skin checks, blood levels.
- Your opinion on fitness, the adjustments you recommend, their expected duration, and the review date.
- Consent: what the worker agreed may be shared with the employer.
Example: return to work after back injury
Background: Warehouse operative in his forties, off work 5 weeks with acute low back pain after lifting. No leg symptoms. Treated with physiotherapy and simple analgesia. Current function: Walking 30 minutes, sitting 45 minutes, lifting a 10 kg box from waist height without pain. Pain 3 of 10 at worst. Sleeping normally. Job demands: Lifting up to 25 kg repeatedly from floor level, 8-hour shifts, forklift driving part of the day. Examination: Lumbar flexion to mid-shin. Neurological examination normal. Opinion: Fit to return with adjustments. Recommendations: Phased return over 4 weeks starting at 4-hour shifts. No lifting over 10 kg from floor level for 4 weeks, then review. Forklift duties may continue. Continue physiotherapy. Consent: Worker agreed to the recommendations being shared with the manager; clinical details not to be shared.

Letters and reports

- Referral letters to the family doctor or a specialist when a work-related condition needs investigation.

Reviewing the draft
- Separate the clinical note from the employer report. Check that the employer version contains only functional information and recommendations, not diagnosis details the worker did not agree to share.
- Check weights, hours and durations. Lifting limits and shift lengths are what the employer acts on. The Numbers check marks figures never said.
- Check the consent line. It should say exactly what the worker agreed to.
- Keep the opinion as yours. The fitness opinion must reflect your judgement in your wording.
What ClearPass does not do
- It does not replace your judgement. Every note is an AI draft that you review and correct before it is used.
- It is not a medical device and does not make clinical decisions. It is a documentation aid.
- It does not connect to your EMR. The note is copy-ready text that pastes into any system.
Privacy
Clinical note content is not stored on ClearPass servers: it is processed to write the note, then discarded. Consultation audio is transcribed and discarded, never stored. Your note history stays in your browser, on your device, and you choose how long it is kept. Common identifiers are removed from typed and transcribed text before it reaches the AI; that is a best-effort safeguard, so leave names, ID numbers and file numbers out where you can. Processing goes through the AI providers named in our Privacy Policy, which sets out exactly what each one receives and how long it keeps it. ClearPass does not sign HIPAA business associate agreements today.
Questions
Can it write a report for the employer without clinical details?
Yes. Generate the medical report, then ask in the Ask box to remove diagnoses and keep functional limits and adjustments. Check the result against the worker's consent.
Does it decide whether someone is fit for work?
No. It writes down your assessment and recommendations. The fitness decision is yours.
Can I use it for health surveillance clinics?
Yes. Save short headings with My own structure and choose Concise length for quick surveillance visits. Upload photographed results where helpful, with identifiers removed.
