Using an AI scribe with athenaOne: pasting section by section
Practices on athenaOne already have accelerators for charting: text macros, saved templates, saved findings and encounter plans. ClearPass does not connect to athenaOne and does not replace those tools. It gives you a plain-text draft of what was said in the visit, which you paste into the parts of the encounter where free text belongs.
What athenaOne already gives you
athenahealth's own blog describes several charting accelerators. Text macros fill a field with a frequently used phrase after typing a few letters. Saved templates give a structure for common visit types. Saved findings pre-fill normal review of systems and examination findings. Order sets and encounter plans bring diagnoses, orders and templates into the chart together.
athenahealth lists practices of every size among its users, from start-ups and small practices to large groups and enterprise health systems, across primary care and specialties such as orthopedics and women's health.
Where a pasted note fits
The encounter in athenaOne is divided into areas; athenahealth's blog mentions the history of present illness, review of systems, and assessment and plan among them. A single block of prose does not suit that layout. Paste by section instead.
The ClearPass note makes this easy. Each heading is in capitals on its own line, so you can select the history part and paste it into the HPI, then the assessment and plan part into its area. Hyphen bullets survive as plain text. Where saved findings already fill the normal examination, paste only the abnormal findings you described aloud.

This split stops the same sentence appearing twice. Choose Concise length when your templates already carry a lot, Detailed when the visit was complex.
Order sets and encounter plans stay the fastest way to add orders; the ClearPass plan section only describes in words what you and the patient agreed.
Closing the encounter the same day
- Transcribe the visit. Confirm the patient agrees, tap Transcribe, see the patient, tap Stop.
- Choose SOAP or Problem list. SOAP maps well onto separate history, examination and plan areas; Problem list suits multi-problem visits.
- Review the numbers. Any figure marked by the numbers check was not in the transcript. Confirm or fix it.
- Paste section by section. HPI, positives, abnormal findings, then assessment and plan.
- Add letters and codes. Draft patient instructions or a referral letter in ClearPass and paste them where your practice keeps them. Treat suggested ICD-10 codes as suggestions and pick the final diagnosis in athenaOne.
- Sign in athenaOne. Closing and billing the encounter stay entirely in athenaOne.
Limits
ClearPass is not in athenahealth's marketplace and has no connection to athenaOne. It cannot read the chart, pull in medications or place orders. Nothing reaches the encounter unless you paste it. If your practice or its parent organisation restricts outside tools or copy and paste, follow that policy and ask IT first. Leave patient identifiers out of ClearPass; the encounter already has them.
What ClearPass does not do
- It does not replace your judgement. Every note is an AI draft that you review and correct before it is used.
- It is not a medical device and does not make clinical decisions. It is a documentation aid.
- It does not connect to your EMR. The note is copy-ready text that pastes into any system.
Privacy
Clinical note content is not stored on ClearPass servers: it is processed to write the note, then discarded. Consultation audio is transcribed and discarded, never stored. Your note history stays in your browser, on your device, and you choose how long it is kept. Common identifiers are removed from typed and transcribed text before it reaches the AI; that is a best-effort safeguard, so leave names, ID numbers and file numbers out where you can. Processing goes through the AI providers named in our Privacy Policy, which sets out exactly what each one receives and how long it keeps it. ClearPass does not sign HIPAA business associate agreements today.
Questions
Is ClearPass one of the ambient scribes offered inside athenaOne?
No. ClearPass is a separate browser app with no link to athenaOne. You paste its text in yourself.
Will my text macros still work?
Yes. Nothing in athenaOne changes. Use macros for fixed wording and paste the visit-specific narrative from ClearPass.
Should I paste the whole note into one field?
Usually not. athenaOne divides the encounter into areas, so paste each ClearPass section into its matching area.
Does ClearPass help with prior authorization in athenaOne?
It can draft a prior authorization or justification letter from the same visit, and a denial appeal letter in its Rejection Analysis mode. You submit those through your practice's usual process; ClearPass does not send anything to athenaOne or to a payer.
What does ClearPass cost?
