Using an AI scribe with eClinicalWorks: pasting into the progress note
In eClinicalWorks the visit ends in a progress note that many practices have customised, often with specialty templates and order sets. ClearPass has no connection to eClinicalWorks. It turns the conversation into a plain-text draft that you paste into the free-text parts of that progress note.
Who uses eClinicalWorks
eClinicalWorks says more than 180,000 physicians rely on its EHR, and it describes the product as covering a practice from booking and reminders through documentation, billing and follow-up care. Its specialty pages cover primary care, cardiology, orthopedics, OB/GYN, gastroenterology and behavioral health, among others.
The typical user is an outpatient practice, from a single physician to a large group, where the same clinician both documents and signs the visit.
Templates, order sets and free text
eClinicalWorks points to hundreds of customizable templates and order sets for documenting common conditions, and its own blog advises practices to customise the progress note to fit their needs. Templates are strong at structured, repeatable content: checklists, standard examination items, the orders that go with a diagnosis.
What templates do not capture well is the conversation: how the patient described the problem, what worried them, what you explained and what you agreed. That is the part to paste from ClearPass. Keep the template for structured items and put the ClearPass narrative in the free-text areas of the progress note.
An example split
INTERVAL HISTORY - Knee pain improved since starting home exercises; now mainly on stairs. - Using paracetamol twice most days, no side effects reported. EXAMINATION - Mild medial joint line tenderness, right knee. No effusion. - Full range of movement, pain at end of flexion. ASSESSMENT - Right knee osteoarthritis, improving with exercise. PLAN - Continue home exercises; physiotherapy referral discussed and accepted. - Review in 8 weeks, sooner if swelling or locking.
In the progress note, the practice's knee template might already hold the structured examination items. You would then paste the interval history and the plan, and let the order set add the physiotherapy referral.
What to check once it is pasted
- The right patient and the right visit date in eClinicalWorks.
- No section repeated where the template already filled it.
- Every number marked by the ClearPass numbers check, confirmed or corrected.
- Suggested ICD-10 codes compared with the assessment before you choose the diagnosis in the EHR.
- Patient instructions and any referral letter pasted where your practice keeps them, not inside the progress note.
Honest limits
ClearPass does not read from or write to eClinicalWorks. It cannot see the problem list, medications or earlier notes, and it files nothing. eClinicalWorks sells its own AI scribe; ClearPass is a separate product you use alongside the EHR by copy and paste. If your practice restricts outside software or copy and paste, follow that policy and check with whoever runs your IT. You remain responsible for the signed note.
What ClearPass does not do
- It does not replace your judgement. Every note is an AI draft that you review and correct before it is used.
- It is not a medical device and does not make clinical decisions. It is a documentation aid.
- It does not connect to your EMR. The note is copy-ready text that pastes into any system.
Privacy
Clinical note content is not stored on ClearPass servers: it is processed to write the note, then discarded. Consultation audio is transcribed and discarded, never stored. Your note history stays in your browser, on your device, and you choose how long it is kept. Common identifiers are removed from typed and transcribed text before it reaches the AI; that is a best-effort safeguard, so leave names, ID numbers and file numbers out where you can. Processing goes through the AI providers named in our Privacy Policy, which sets out exactly what each one receives and how long it keeps it. ClearPass does not sign HIPAA business associate agreements today.

Does ClearPass plug into eClinicalWorks?
No. There is no plugin or integration. You copy the note and paste it into the progress note yourself.
Can ClearPass match my custom progress note?
Use My own structure to enter your progress note headings once. The drafts then follow the same order, which makes pasting quicker.
Does it place orders?
No. Orders, order sets and prescriptions stay in eClinicalWorks. The ClearPass plan is text describing what you decided.
Can I use a lab report photo?
Yes. Photograph a lab or radiology report and ClearPass reads the clinical details into the draft. Photos are not automatically redacted, so crop or cover names and numbers first. Results already filed in eClinicalWorks do not need pasting again.
Is it worth it if I already use templates heavily?
Try it in the trial on a few real visits. Clinicians who chart mostly with templates often gain least on routine visits and most on long or complicated ones, where the narrative takes time to type.
